Job Summary:

The Secretary to the General Manager will provide high-level administrative and secretarial support to ensure the efficient functioning of the GM’s office. The role requires excellent organizational, communication, and coordination skills, along with discretion and professionalism in handling confidential matters.

Key Responsibilities:

  • Provide complete secretarial and administrative support to the General Manager
  • Manage the GM’s calendar, appointments, meetings, and travel arrangements
  • Prepare, draft, and format correspondence, emails, reports, and presentations
  • Coordinate internal and external meetings, including preparing agendas and taking minutes
  • Act as a point of contact between the GM and internal departments, clients, and external stakeholders
  • Handle confidential and sensitive information with integrity and discretion
  • Maintain organized filing systems (both physical and digital)
  • Monitor deadlines, follow up on action items, and ensure timely completion of tasks
  • Assist in organizing company events, meetings, and official functions as required
  • Screen and prioritize incoming calls, emails, and visitors
  • Support the GM with day-to-day operational coordination when required

Required Qualifications & Skills:

  • Bachelor’s degree or equivalent qualification preferred
  • Proven experience as a Secretary, Executive Assistant, or similar role (Min 2-3 years)
  • Excellent verbal and written communication skills
  • Strong organizational and time-management abilities
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
  • Professional demeanor with strong interpersonal skills
  • Ability to multitask and work under pressure
  • High level of confidentiality, discretion, and reliability
