Key Duties and Responsibilities
- Greet external/internal clients and handle their requests in a timely and efficient manner.
- The role requires a high level of flexibility and collaboration, with the ability to support operations across One&Only Royal Mirage and One&Only The Palm in line with business and operational requirements, always ensuring seamless service delivery and brand consistency.
- Plan, coordinate, and deliver colleague engagement initiatives (events, campaigns, activities)
- Support programs that promote inclusion, wellbeing, recognition, and collaboration
- Act as a point of contact for colleagues regarding engagement activities and feedback
- Help create a positive workplace culture aligned with company values.
- Design and create promotional materials for engagement activities, including posters, digital flyers, and internal announcements.
- Assist with maintaining workforce administration data and processes.
- Prepare reports as requested by Cluster HR Manager.
- Manage all matters and maintain records related to opening bank accounts for new Employees.
- Tracking of new residence visa to send to the bank
- Updating OASYS – Changing cash salary to bank transfer.
- Prepare salary transfer letters for employees that request a bank loan or credit card.
- Tracking of all final settlement and informing banks accordingly – every week
- Answer various questions with regards to bank issues
- Bank Verification for employees –start date, salary, designation etc.
- Receiving all team member ATM card from courier service
- Redistributing the ATM Card packs to each department.
- Maintain and ensure the Colleague Files are up to date
- Ensures File Room is clean and organized, and documents for filing are kept to a minimum.
- Record minutes at weekly HR Meetings.
- Assist with colleagues exit processes and procedures
- Coordinating flight bookings of the exiting colleagues
- Liaising with colleagues to sign the Final Settlement & Visa Cancellation Forms
- Liaising with colleagues to complete the Leaver Clearance Form
- Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, and/or presentation software.
- Assist with planning special events.
- Issuing of Colleague IDs
- Preparation of Letters like Salary Certificates, Salary Transfer Letters, NOC & Service Letters.
- Preparing Colleague Files and ensuring the following documents are in order:
- Signed Contract
- Starter Form
- Signed Job Requisition
- CV
- Passport Copy of Colleague and dependents if applicable
- Passport size photographs
- Assist with all related administration issues.
- All other duties may be assigned by Cluster HR Manager or Cluster HR Director.
Skills, Experience & Educational Requirements
- Professional and well-groomed
- Passionate, personable, friendly, dedicated
- Proficiency in all MS Excel, Word, Office Programs, OASYS Software
- Advanced admin skills
- Bachelor’s degree
- 2-3 years in administrative role
- 1-2 Years in hospitality industry
- Organizational skills, advanced communication and writing skills
