We are seeking a highly organized, professional, and discreet Personal Secretary to the Managing Director for our shipping / maritime company based in Dubai. The ideal candidate will provide comprehensive administrative and secretarial support to the MD, ensuring smooth day-to-day operations and effective communication.
Key Responsibilities
- Manage the MD’s calendar, appointments, meetings, and travel arrangements
- Handle confidential correspondence, emails, and documents with discretion
- Prepare reports, presentations, meeting agendas, and minutes
- Act as a point of contact between the MD and internal/external stakeholders
- Coordinate with departments to follow up on tasks and deadlines assigned by the MD
- Organize meetings, board discussions, and business travel logistics
- Maintain proper filing systems (physical and digital)
- Assist with personal and professional administrative tasks as required
Required Skills & Qualifications
- Proven experience as a Personal Secretary / Executive Secretary / PA to Senior Management
- Experience in the shipping or maritime industry is highly preferred
- Excellent written and verbal communication skills in English (additional languages are a plus)
- Strong organizational, multitasking, and time-management skills
- High level of professionalism, confidentiality, and integrity
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
- Ability to work independently and under pressure
Experience
- Minimum 3–5 years of relevant experience supporting senior management
- Prior experience reporting directly to a Managing Director / CEO is preferred
Location & Availability
- Based in Dubai or willing to relocate
- Available to join within one month
