We are looking for a Procurement Officer Assistant to support our Procurement Officer in day-to-day operational and administrative procurement activities. This role is essential in ensuring smooth purchasing workflows, accurate documentation, supplier coordination, and effective communication with internal teams.
Key Responsibilities
Procurement Operations
- Support end-to-end procurement activities (PR to PO processing & tracking)
- Monitor procurement timelines and follow up on delays
- Ensure purchases align with approved budgets and instructions
- Coordinate with warehouse, logistics, and finance teams
Supplier & Stakeholder Coordination
- Liaise with approved suppliers and vendors (local & international)
- Coordinate with logistics, freight forwarders, and customs agents
- Support service providers (maintenance, inspection, calibration, etc.)
Compliance & Documentation
- Maintain accurate procurement records in line with company policies
- Ensure compliance with approval matrices and procurement procedures
- Support audit readiness through proper documentation control
- Follow confidentiality and data protection requirements
ERP & Reporting
- Enter and maintain procurement data in ERP systems (Odoo preferred)
- Support integration between procurement, inventory, and accounting modules
- Prepare procurement status reports for management and audits
- Report ERP issues or inconsistencies when identified
General Support
- Assist in onboarding new suppliers and documentation
- Support procurement team during peak workload periods
- Perform additional procurement-related tasks as assigned
- Uphold company values and professional conduct at all times
Qualifications & Experience
- Bachelor’s degree in Business Administration, Supply Chain, Logistics, or related field (preferred)
- 1–3 years of experience in procurement, purchasing, logistics, or administrative support
- Experience in manufacturing, engineering, or industrial environments is an advantage
- ERP system experience required (Odoo preferred)
- Procurement or supply chain certifications are a plus
Technical Skills
- Knowledge of procurement processes (PR, PO, supplier coordination)
- Strong MS Excel skills (tracking, comparison sheets, quotations)
- ERP system usage (preferably Odoo)
- Document control and data accuracy
- Basic understanding of logistics and shipping documentation
