Job Summary

The Real Estate Administrator will support daily operations of the real estate office, ensuring smooth coordination between clients, agents, landlords, tenants, and management. This role involves handling documentation, preparing contracts, managing listings, updating CRM systems, and assisting with compliance requirements according to UAE real estate regulations (RERA, Ejari, etc.). The ideal candidate is organized, detail-oriented, and familiar with the UAE property market.

Key Responsibilities

1. Administrative Support

  • Manage office correspondence, emails, phone calls, and schedules.
  • Organize and maintain property files, tenancy contracts, and related documents.
  • Coordinate appointments, property viewings, and meetings for agents and clients.

2. Documentation & Compliance

  • Prepare tenancy contracts, familiar with land department rules & regulations, and other RERA documents.
  • Handle Ejari registrations, cancellations, and renewals.
  • Ensure all documentation is accurate, updated, and compliant with UAE real estate regulations.

3. Property Listings & Marketing

  • Create and update property listings on portals (Bayut, Property Finder, Dubizzle, etc.).
  • Upload photos, descriptions, prices, and ensure all listing details are correct.
  • Coordinate with photographers, marketing teams, and agents for property marketing material.

4. Client & Agent Coordination

  • Assist agents with required documents, lead follow-up, and appointment coordination.
  • Respond to client inquiries professionally and promptly.
  • Maintain client records and follow up on renewals, payments, or required documents.

5. CRM & Data Management

  • Update CRM with leads, listings, transactions, and client information.
  • Track property availability, contract expiry dates, and payment schedules.
  • Generate weekly/monthly reports for management.

6. Financial Support (Basic)

  • Assist with invoicing, receipts, commission sheets, and petty cash handling.
  • Follow up on rental payments, deposits, and service charges where applicable.

Qualifications & Skills

  • Bachelor’s degree preferred.
  • Minimum 2–3 years administrative experience (real estate experience in UAE is an advantage).
  • Strong knowledge of RERA procedures, Ejari, tenancy laws, and property portals.
  • Proficient in MS Office, CRM platforms, and online listing portals.
  • Excellent communication skills (English required; Arabic is a plus).
  • Strong organizational skills and attention to detail.
  • Ability to multitask and work under pressure.
