Key Responsibilities:
- Manage the Managing Director’s daily schedule, appointments, and meeting arrangements.
- Handle confidential correspondence, emails, and internal communications efficiently.
- Prepare reports, presentations, meeting minutes, and other business documents.
- Coordinate travel arrangements, hotel bookings, visa processing, and itineraries.
- Maintain an organized filing system (digital and physical).
- Liaise with internal departments and external stakeholders on behalf of the MD.
- Follow up on pending tasks, deadlines, and action items to ensure timely completion.
- Assist in project coordination and other administrative tasks as required.
- Manage incoming calls and visitors professionally.
Requirements:
- Bachelor’s degree or equivalent qualification.
- Minimum 3–5 years of experience as an Executive Secretary or Personal Assistant, preferably supporting senior management.
- Excellent communication skills (written and verbal).
- Strong organizational and time management abilities.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Ability to handle sensitive information with discretion.
- Professional appearance, strong interpersonal skills, and proactive attitude.
- Ability to work in a fast-paced environment and manage multiple priorities.
Preferred Qualifications:
- Experience in the UAE/GCC region.
- Knowledge of office management systems and procedures.
- Strong problem-solving and coordination skills.
