Key Responsibilities:

  • Manage the Managing Director’s daily schedule, appointments, and meeting arrangements.
  • Handle confidential correspondence, emails, and internal communications efficiently.
  • Prepare reports, presentations, meeting minutes, and other business documents.
  • Coordinate travel arrangements, hotel bookings, visa processing, and itineraries.
  • Maintain an organized filing system (digital and physical).
  • Liaise with internal departments and external stakeholders on behalf of the MD.
  • Follow up on pending tasks, deadlines, and action items to ensure timely completion.
  • Assist in project coordination and other administrative tasks as required.
  • Manage incoming calls and visitors professionally.

Requirements:

  • Bachelor’s degree or equivalent qualification.
  • Minimum 3–5 years of experience as an Executive Secretary or Personal Assistant, preferably supporting senior management.
  • Excellent communication skills (written and verbal).
  • Strong organizational and time management abilities.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Ability to handle sensitive information with discretion.
  • Professional appearance, strong interpersonal skills, and proactive attitude.
  • Ability to work in a fast-paced environment and manage multiple priorities.

Preferred Qualifications:

  • Experience in the UAE/GCC region.
  • Knowledge of office management systems and procedures.
  • Strong problem-solving and coordination skills.
