Key Responsibilities:

Customer Service:

  • Greet and welcome visitors, clients, and staff in a friendly and professional manner.
  • Direct visitors to the appropriate person or department.
  • Answer and route incoming calls and emails promptly and accurately.
  • Administrative Duties:
  • Maintain and manage the front desk area to ensure a professional appearance.
  • Manage appointment schedules, booking, and cancellations.
  • Handle incoming and outgoing mail and courier services.
  • Maintain office supplies and ensure availability.
  • Record Keeping:
  • Manage visitor logs and issue visitor badges as required.
  • Maintain records of inquiries, complaints, or service requests.
  • Coordination:
  • Assist in coordinating meetings, preparing meeting rooms, and arranging refreshments.
  • Communicate messages and information efficiently between departments.
  • Problem Solving:
  • Address visitor inquiries and resolve minor issues proactively.
  • Escalate complex matters to the appropriate personnel.

Qualifications:

  • High school diploma or equivalent (some roles may require a degree).
  • Proven experience in a similar role is an advantage.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong communication skills (verbal and written).
