We are looking for a reliable and well-organized Office Administrator to manage daily office operations and provide administrative support to management and staff. The ideal candidate will ensure smooth office functioning while also being available for local errands, bank/PRO-related work, and coordination tasks requiring driving.

Responsibilities:

  • Manage day-to-day office activities to ensure smooth operations.
  • Handle correspondence, emails, and phone calls.
  • Organize and schedule meetings, appointments, and travel arrangements.
  • Prepare reports, memos, and documentation when required.
  • Maintain filing systems—digital and physical.
  • Assist with basic accounting tasks like petty cash, billing, and invoice processing.
  • Keep records of expenses, equipment, and administrative budgets.
  • Support HR with onboarding, attendance records, and employee documentation.
  • Coordinate with departments to communicate notices and instructions.
  • Greet visitors and manage reception duties when required.
  • Respond to inquiries from employees, clients, or suppliers.
  • Ensure office policies are followed.
  • Support management in implementing administrative procedures.
  • Maintain office supplies and place orders when needed.
  • Oversee office maintenance, repairs, and coordination with vendors.

Qualifications & Skills:

  • Diploma or bachelor’s degree in Business Administration, Office Management, or a related field (preferred).
  • Strong communication skills—written and verbal.
  • Excellent organizational and time-management abilities.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Basic knowledge of accounting processes (invoicing, petty cash, expenses) is often preferred.
  • Ability to multitask and handle deadlines.
  • Attention to detail and accuracy.
  • Good interpersonal skills for coordinating with staff, clients, and vendors.
  • Problem-solving and decision-making abilities.
  • Familiarity with office equipment (printers, scanners, etc.).
  • 1–3 years of administrative or office support experience (depending on company requirements).
  • Experience in customer service or HR support is a plus.
  • Additional certifications in administration, HR, accounts, or similar areas are an advantage.
  • Valid UAE Driving License
