We are seeking a proactive and organized HR & PRO Coordinator to manage and support all backend processes related to staff administration. This role will act as a bridge between HR and PRO departments, ensuring smooth execution of employee documentation, onboarding, visa processing, renewals, and compliance requirements. The ideal candidate must be detail-oriented, efficient, and able to handle multiple tasks while maintaining accuracy and confidentiality.
Key Responsibilities:
HR Coordination
- Assist in the full employee lifecycle: onboarding, joining formalities, contract preparation, and file documentation.
- Maintain and update staff records, HR databases, and personnel files.
- Coordinate with departments for staff requirements, attendance records, leave tracking, and document collection.
- Prepare HR letters (salary certificates, NOCs, memos, etc.) as required.
- Ensure all HR policies and procedures are followed and maintained.
- Support payroll team by providing accurate staff movement updates (new joiners, resignations, transfers).
PRO Coordination
- Coordinate with the PRO for visa processing, renewals, medicals, Emirates ID appointments, and immigration-related tasks.
- Follow up on all government-related transactions through portals (MOHRE, ICP, DM, etc.).
- Track the status of all active visas, labour cards, Emirates IDs, and trade license documents to ensure timely renewals.
- Assist in preparing documents required for government submissions and approvals.
Administrative & Backend Support
- Maintain a tracking system for all HR & PRO activities and documentation.
- Handle employee queries related to HR and PRO processes.
- Prepare reports related to staffing, document expiries, and HR metrics.
- Ensure confidentiality of all employee and company information.
- Support management in audits and compliance checks.
Qualifications & Skills:
- Bachelor’s degree in Human Resources, Business Administration, or related field.
- Minimum 1–2 years of experience in HR coordination or admin roles; experience in UAE PRO coordination is a strong advantage.
- Strong knowledge of UAE labour law, immigration procedures, and government portals (MOHRE, ICP, Tasheel, DM).
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficient in MS Office applications (Word, Excel, Outlook).
- High level of accuracy, confidentiality, and attention to detail.
