  • Manage front desk operations by greeting visitors, answering inquiries, and directing them to appropriate personnel swiftly and courteously.
  • Coordinate and schedule appointments and meetings, ensuring all relevant materials are prepared in advance to optimize executive time management.
  • Handle incoming calls with professionalism, taking accurate messages and ensuring effective communication between departments and external contacts.
  • Handle all the flight ticket booking and hotels booking.
  • Maintain an organized filing system, both digital and physical, for easy retrieval of important documents and information as needed.
  • Assist in the preparation of reports and presentations by gathering data and formatting documents to ensure a professional appearance.
  • Oversee office supplies inventory, anticipating needs and placing orders to ensure the workplace is fully equipped at all times.
  • Manage correspondence by drafting, editing, and sending emails and letters while adhering to the company’s communication guidelines

Qualifications:

  • Minimum educational qualification of a high school diploma; an associate or bachelor’s degree in business administration is preferred.
  • 1-3 years of relevant experience in a receptionist or administrative support role within a corporate environment is essential.
  • Proficiency in office software, including MS Office Suite (Word, Excel, PowerPoint) and familiarity with office management software.
  • Fluency in English is required; additional language skills (e.g., Russian ) is highly advantageous for diverse workplace interactions.
  • Excellent verbal and written communication skills to interact professionally with clients, visitors, and colleagues.
  • A proactive attitude with a keen attention to detail to ensure accuracy in all tasks and communications.
  • Ability to maintain confidentiality and handle sensitive information with discretion and integrity.
  • Preferably immediate joining.
