Roles and Responsibilities:

Front Office Management:

  • Greet and welcome visitors in a professional and friendly manner.
  • Answer, screen, and forward incoming phone calls.
  • Maintain the reception area, ensuring it is tidy and presentable at all times.
  • Handle incoming and outgoing correspondence, including emails, couriers, and mail.

Administrative Support:

  • Assist in preparing documents, reports, and presentations as required.
  • Maintain and update company databases, records, and filing systems.
  • Schedule and coordinate meetings, appointments, and conference room bookings.
  • Support HR and administrative functions such as attendance tracking, leave records, and document filing.
  • Handle procurement of office supplies and ensure stock levels are maintained.

Coordination and Communication:

  • Liaise with internal departments and external contacts for administrative matters.
  • Coordinate with vendors, maintenance staff, and service providers for office-related requirements.
  • Assist management with day-to-day administrative tasks and special projects.

Visitor and Employee Assistance:

  • Provide information and assistance to visitors, clients, and employees as needed.
  • Handle basic inquiries and direct them to the appropriate department or personnel.
  • Support new employee onboarding by preparing access cards, workspace, and basic orientation.

General Office Management:

  • Ensure proper maintenance of office equipment like printers, photocopiers, and telephones.
  • Manage petty cash and expense reimbursement processes when required.
  • Adhere to company policies, confidentiality, and safety standards.
