Responsibilities:
- Greet and assist visitors, clients, and staff in a professional manner.
- Ensure guests have refreshments, or wi-fi details while waiting.
- Answer, screen, and forward telephone calls; take messages when required.
- Schedule and coordinate appointments, meetings, and conference room bookings.
- Assist in setting up meeting rooms (arranging refreshments, ensuring equipment is ready)
- Handle incoming and outgoing mail, couriers, and packages.
- Monitor and order office supplies as needed.
- Monitor and order office stationery as needed.
- Provide clerical support including photocopying, printing, scanning, and filing.
- Ensure reception area is clean, organized, and welcoming.
- Ensure meeting rooms are clean, organized, and welcoming.
- Act as the first point of contact in case of emergencies, following procedures.
- Onboarding formalities for new joiners: Collating of documents, booking flights and accommodation
- Registering new Lawyers with the Dubai Legal Affairs Department
- Assist in Visa issuance and renewal
